Establishing systems and structures for your real estate business.

Updated: Nov 3, 2022

To be THE ULTIMATE Agent and compete in today’s marketplace, you need to build out strong processes, systems and implement structure into your business.

A week in the life of a real estate can often be chaotic and situationally reactive. But it doesn’t have to be. If you build the right systems and structures out for your business, you will have the flexibility to meet the demands of your business and ensure that all the day-to-day tasks in your business are being completed.

So where do you start?

Firstly, set aside time to audit your business. To know where you want to go with your business you need to set goals and map out what you need to do to achieve them over the next 3, 6, 9 and 12 months.

Your end goal is to be able to dedicate the maximum amount of time to your business being dollar productive.

Now it’s time to figure out all your tasks and what you can automate, delegate or template.

Start out by creating a structure for your week. This will provide you with the outline you need to follow each week to hit your targets. Schedule this into your diary with the targets you need to hit. For example, if you are making prospecting calls, schedule the time block into your calendar and plan out how many connections you need to make to hit your goals.

Now create a process to follow for each part of your business. These are also great to have when you are onboarding new team members to get them up and running quickly!

Create a process and a checklist for:

Listing to sale process

5-star open homes

Prospecting

OTM - On the Market campaigns

Withdrawn/ Expired/ Rentals

Auction

Listing appointments/ contracts

Letters

Testimonials

Having these means that you won’t miss a step in your processes each time you or one of your team provides a consistent experience to the client each and every time.

Now as for templates…

One of the most productive and efficient tools I used throughout my career as an agent (and something I still do today in my business!) is to TEMPLATE everything you can.

A lot of our communications means we are repeatedly sharing the same information over and over and over again. So….

Create templates for your most used and successful letters.

Create templates for your most-used emails.

Create templates on your phone for your frequently sent messages!

Set your business up with a structure and you will quickly move out of chaos and be able to focus on the dollar productive tasks!
